How to choose software for your lodge.
Hotel systems, activity booking platforms, outfitter tools and lodge software all claim to fit a fishing lodge or a guest ranch. Here is how they differ, what to check, and where Malvavisco fits and where it doesn’t.

What each kind of software is built to do
Most confusion comes from comparing tools built for different jobs.
Hotel property management systems
Built around rooms and rates: the front desk, housekeeping, a booking engine and a channel manager that connects to online travel agencies. In many Latin American countries they also connect to the tax authority for electronic invoices. They rarely schedule guides, boats or horses, or plan included meals.
Activity booking platforms
Built to sell tours, rentals and tickets online: availability, checkout, waivers, gift cards. Many charge a share of each booking; The Flybook, for example, publishes a 4% online booking fee or a 2% fee on all transactions. Lodging is usually an add-on to the activity.
Outfitter and guide tools
Built for guides and outfitters taking trips and hunts: client lists, trip calendars, deposits, sometimes licences. LodgeRunner, in this group since 2001, publishes that most lodges pay $100 to $300 a month; Fishing Outfitter’s plans run from a free tier, with a booking fee paid by the client, to $179 a month for up to 15 guides.
Lodge operations software
Built to run the stay itself: rooms, guided days, guides and assets, the kitchen, the bar and the bill. This is where Malvavisco sits. It is the staff side of the lodge; it does not yet sell online to guests.
What to check before you choose
- Activities and assets. Can it schedule a named guide and the boat, horse or truck, and stop double-booking?
- Meals. Can meals be included in a stay without being charged again, and does the kitchen see dietary needs?
- The bar and the shop. Do drinks and retail land on the guest’s bill?
- Groups. Can one booking hold a party with one bill, or split it?
- Currencies. If you charge foreign guests in dollars and locals in pesos or reais, does it keep them apart?
- Language. Can your team use it in Spanish?
- Online booking and channels. Do guests need to book and pay on your website, or through online travel agencies?
- Fiscal invoices. Does your country require electronic invoices from a connected system?
- Pricing model. A share of each booking, or a monthly fee?
Choosing lodge software
It depends on how you sell. If most guests book and pay online, choose a tool with a booking engine. If your challenge is running the week, with guides, boats, meals and the bar on one bill, lodge operations software such as Malvavisco or an outfitter tool fits better. Many lodges sell through agents and email, which any of them can handle.
Not yet. Malvavisco is the staff side of the lodge. Bookings come in by email, phone or agents and are entered by your team.
For a lodge that mostly sells rooms through online travel agencies, often yes. For a lodge where every stay includes guided days, meals and a bar, a hotel system leaves the activities, guides and kitchen on paper.
Malvavisco’s staff app runs in Spanish, English or Brazilian Portuguese. Of the outfitter and lodge tools we compared, Fly dreamers also publishes its site in Spanish and Portuguese; LodgeRunner and The Flybook publish in English only.
