An honest GraceSoft review, and when Malvavisco fits instead.

Looking for a GraceSoft alternative? Start with what GraceSoft does well, taken from its own pages. GraceSoft has sold hotel software since 1999, and it sells its Easy InnKeeping system to dude ranches with packages, a booking engine and a channel manager. Malvavisco is newer and built around running the stay: horses and wranglers, guides, the kitchen and the bill, in English, Spanish or Portuguese. We wrote this page, and we say when GraceSoft is the better choice.

Updated

What is the best GraceSoft alternative?

It depends on what you want to change. If families book all-inclusive weeks online, or you sell on Booking.com and Airbnb, stay with GraceSoft or look at The Flybook. If the hard part is the week itself (which horse and wrangler go on each ride, what the kitchen cooks, what each family owes), try Malvavisco. If you mainly want a low published price, ReservationKey starts at $41 a month.

What GraceSoft does well

From GraceSoft’s own website, checked on 23 October 2026.

GraceSoft sells one system, Easy InnKeeping, to hotels, B&Bs, vacation rentals, campgrounds and condos, and has a page for dude ranches. Its ranch page describes a hotel-style system shaped around packaged, multi-day stays.

  • Packages and online booking. Package bookings of 3, 4, 5 or 6 nights or weekly stays with fixed arrival rules, activity and add-on upsells, and a mobile-friendly booking engine on your website (source).
  • Guides and itineraries. Guide and activity scheduling, daily programs and auto-generated guest itineraries, with pre-arrival registration and digital check-in and check-out (source).
  • Quotes and payments. Quotes and secure payment links from its CRM, reservations confirmed automatically once paid, card processing, refunds and email and text from one inbox (source).
  • Channels. Booking.com, Expedia, Airbnb and Vrbo with rates and availability kept in sync, included from its Premium plan (source).
  • Store and housekeeping. A retail point of sale for merchandise, gear, food and add-ons that posts charges to guest folios, and real-time housekeeping dashboards (source).
  • Guest signatures. SignPad collects guest signatures on tablets or phones and saves the signed documents to the reservation (source).
  • Switching to it. GraceSoft says it imports your historical and future reservations when you move to it (source).
  • Track record and support. Founded in 1999, in the cloud since 2005, with 24/7 support and guided onboarding (source).

It is a broad system. What its ranch page leaves out is the ranch itself: it names guides and activities, but not horses, rider forms or meal planning.

How much GraceSoft costs

As shown on GraceSoft’s pricing page on 23 October 2026.

GraceSoft doesn’t publish plan prices; it quotes on request, like Malvavisco. Its pricing page lists four plans and what each adds:

AdvancedGrowing hospitality businessesHousekeeping, payment links, auto payment, self check-in, night audit, mobile app

  • Below Premium, the channel connection is a separate module, also quoted.
  • Devices with a published price: a card swipe device for $99 and an e-signature pad for $199.
  • Plans list “Flexible cancellation”; no contract length is stated.
  • A smaller Lite edition for small hotels and vacation rentals takes payments through Stripe and charges a 1% booking fee on Vrbo and Airbnb bookings.

When to choose each

Stay with GraceSoft, or choose it, if…

  • Families book and pay online, including 3- to 6-night or weekly packages
  • You sell on Booking.com, Expedia, Airbnb or Vrbo and need rates and availability kept in sync
  • You want card processing, payment links and guest signatures in the same system
  • You want housekeeping dashboards and 24/7 support
  • You also run a hotel, a campground or vacation rentals, which GraceSoft covers too

Choose Malvavisco if…

  • Your team works in Spanish, or in Spanish and English
  • You want each horse scheduled like a boat or a truck, with overlap checks, and wranglers assigned by skill and language
  • The kitchen needs a daily dietary brief and tickets built from the meals included in each stay
  • The bar or the store should charge to the family’s bill, with stock counts and supply orders
  • You bill in pesos, reais or other currencies and want each one reported on its own

What GraceSoft’s pages don’t cover

Its dude ranch page doesn’t mention horses, rider forms or meal planning. Its plans list “Multi Language” without naming the languages, and “Offline Data” without saying what works without a connection. If any of that matters, ask GraceSoft during its demo. For a wider field, see the best guest ranch software comparison and our ReservationKey comparison, or how Malvavisco runs a guest ranch or an estancia.

Free migration from GraceSoft to Malvavisco

Malvavisco’s team moves you over from GraceSoft at no charge. Send us what GraceSoft exports (spreadsheets of bookings and guests, or screenshots of your settings) and we:

  1. Set up your rooms or cabins, rates, services, guides, boats, horses or vehicles, and staff roles.
  2. Enter every upcoming booking, with the deposits already received recorded as payments.
  3. Load your guest list.
  4. Rebuild your confirmation and reminder emails from Malvavisco’s English, Spanish and Portuguese templates.

We check it with you before you switch. Past bookings stay in GraceSoft, so keep its export. The migration is free; Malvavisco’s subscription is quoted after a demo, as always. Malvavisco has no self-serve import tool, so a person on our team does the move.

What GraceSoft exports

GraceSoft’s reports print or export to Excel, text or XML (source), and its ranch page lists exportable accounting and financial reports. Ask GraceSoft for a spreadsheet of upcoming reservations and guests; screenshots of your settings work too.

What doesn’t move

  • The booking engine and the website GraceSoft hosts stop taking bookings, and Malvavisco has no booking engine to replace them.
  • Your Booking.com, Expedia, Airbnb and Vrbo connections end. Malvavisco has no channel manager, so close those listings or enter their bookings by hand.
  • Card processing, payment links and automatic payments end; payments taken on your own terminal are recorded by staff instead.
  • Signed documents stay in GraceSoft. Download them before you cancel; Malvavisco has no waivers.
  • Package prices don’t carry over as packages: we rebuild them as a nightly rate plus per-person prices for rides and extras.
  • Past bookings stay in GraceSoft.

When to switch

Between seasons, with some overlap if you can. GraceSoft’s plans list flexible cancellation without a stated contract length, so check your own agreement before you set a date.

Ask for your free migration or read how the free migration works.

GraceSoft reviews and alternatives

For a ranch that sells packaged weeks online and through Booking.com, Airbnb or Vrbo, it covers a lot: a booking engine, 3- to 6-night and weekly packages, guide and activity scheduling, itineraries, card processing, guest signatures, housekeeping and a store. It fits less well if horses, rider details and the kitchen are where your week goes wrong, because its ranch page doesn’t mention them.

GraceSoft doesn’t publish plan prices. Its pricing page lists four plans (Basic, Advanced, Premium and Platinum) quoted on request. The point of sale is a separate module, the channel connection is separate below Premium, and devices include a $99 card swipe device and a $199 e-signature pad.

For running the ranch or lodge week, yes: bookings, cabins, guides and wranglers, horses and boats, the kitchen, the bar, payments and reports. It does not replace GraceSoft’s booking engine, channel manager, card processing, package prices or guest signatures.

Yes, for free. Our team sets up your cabins, rates, services, guides, horses and staff roles, enters every upcoming booking with its deposits, loads your guest list and rebuilds your emails. Past bookings stay in GraceSoft, so keep its export.

Its plans list “Multi Language” but its pages don’t say which languages. Malvavisco’s staff app runs in Spanish, English or Brazilian Portuguese, and we publish pages for estancias and ranches in Spanish.

Both are hotel-style systems with a booking engine and a channel manager. ReservationKey publishes a flat price from $41 a month and keeps to reservations, payments and channels. GraceSoft quotes on request and adds guide scheduling, itineraries, housekeeping and a store. See our ReservationKey comparison.
