Switching lodge software? We move you over for free.
Moving from LodgeRunner, The Flybook, a hotel system or a spreadsheet? Malvavisco’s team sets up your lodge, enters your upcoming bookings and loads your guest list at no charge, then checks it with you before you switch.
What does Malvavisco’s free migration include?
Our team sets up your rooms or cabins, rates, services, guides, boats, horses or vehicles and staff roles; enters every upcoming booking with the deposits already received; loads your guest list; and rebuilds your confirmation and reminder emails. Past bookings stay in your old system. The migration is free; Malvavisco’s subscription is quoted after a demo.
5 steps
From your old system to your first week in Malvavisco.
A demo of your weekTogether
You show us how you run a week today. We show you the same week in Malvavisco and agree on a date to switch, usually between seasons.
You send what you haveYou
A spreadsheet of upcoming bookings and guests from your current system’s reports, screenshots of your rooms, rates and services, and the emails you send guests.
We set it upUs
Rooms or cabins, rates, services, guides, assets and staff roles; every upcoming booking with its deposits recorded as payments; your guest list; your confirmation and reminder emails in English, Spanish and Portuguese.
You check itTogether
We go through the coming weeks with you side by side with the old system, and fix what doesn’t match before anyone relies on it.
Switch dayYou
Your staff sign in with their own roles and new bookings go into Malvavisco. Keep the old system until its paid period ends, for its past bookings and records.
What moves and what stays
What we move
- Your rooms or cabins and rates, and the services you sell: guided days, hunts, trail rides, excursions, meals, the bar and the shop.
- Guides with their skills and languages, and the boats, horses, vehicles or floatplanes they use.
- Your staff, each with a role: front desk, guide, kitchen, housekeeping, finance, owner read-only and more.
- Every upcoming booking, with its party, rooms, services and the deposits already received, recorded as payments.
- Your guest list, so returning guests are there when they book again.
- Your confirmation, deposit and balance reminder emails, rebuilt from Malvavisco’s English, Spanish and Portuguese templates.
What stays in your old system
- Past bookings and their history. Keep the old system’s export, or keep it open until its paid period ends.
- Signed waivers, licences and documents. Malvavisco has no e-signatures or licence records, so download them before you cancel.
- Card processing and stored cards. Malvavisco doesn’t process or store cards; payments on your own terminal are recorded by staff.
- Online booking widgets and channel connections. Malvavisco has no guest booking engine or channel manager, so links to them on your website stop working.
- Fiscal invoices. Malvavisco doesn’t issue electronic invoices; keep the system or accountant that does.
What it costs
The migration is free: we don’t charge for the setup or the data entry. Malvavisco’s subscription is quoted after a demo, as always.
Why a person does it
Malvavisco has no self-serve import tool. A person on our team reads your export and enters it, which also means someone who knows the system has checked every upcoming booking before your first guest arrives.
